The ultimate hen party to-do list

We realise every event runs on its own timeline. These to-do lists can be altered to fit into your schedule, guests and the bride-to-be. They work for both solitary organisers or groups organising an event together.

FIRST THINGS FIRST

  • Ask the bride how close to the wedding she would like the hen party

  • Ask the bride to provide a few weekends/dates

  • Ask the bride for a guest list. We recommend asking if she’d like parent’s/grandparents present at all. If so, for the entire event or just part of it?

  • Check if the bride has anything she’d really like to do and anything she really wouldn’t like to do.

  • Start thinking about locations and length of the event. NB: If the bride-to-be doesn’t enjoy feeling out of control, doesn’t like surprises or is already incredibly stressed, it may pay to ask her if she’s okay to go away and for the event to be X amount of days.

WHAT’S NEXT?

  • Send out emails, invites or create a Facebook group based on the guest list. 

  • Give everyone a date to confirm their attendance by.

  • This is a good time to raise the money question – what can everyone afford (remember, weddings are expensive and people may already be travelling for the big day).

  • Start finalising the list of activities you’d like to have. Work out a rough budget, based on the number of RSVPs you think you’ll receive. Be mindful of the aforementioned monetary amount.

  • Draft a timeline for the event – how do all the events line up? Is there going to a few hours of awkward unfilled time? Have you factored in travel time?

SO THE GUEST LIST IS FINALISED, WHAT NOW?

  • Get final quotes for activities, transport, accommodation and decorations etc.

  • Give all the guests a deadline for the deposits and final payments.

  • Double check with the bride-to-be that the time/dates suit her – you can never be too sure.

  • Book accommodation, transport and activities.

  • Work out what to get the bride-to-be as a gift.

  • Work out a theme and/or decorations – ensure this fits within the budget.

  • Finalise the event’s time-line.

  • Ask guests if they have any dietary requirements or allergies. 

AND THEN WHAT?

  • Confirm all bookings.

  • Confirm any food and drink orders.

  • Order decorations and any costumes.

  • Create, print or order the games.

  • Check budgets – are you still on track?

THE BIG DAY IS Nearly upon us, WHAT’s left to organise?

  • Check that everything that’s been ordered has arrived.

  • Let the guests know the timeline – start time and location, run of events, end time and location etc.

  • Triple check all bookings and print/save to your phone any tickets, vouchers or vital information.

  • Ensure all necessary transport has been booked and confirmed.

  • Tell the bride-to-be the need-to-know information, including start and end time, location, what she might need to bring/pack (swim suit, heels, nice dress etc) and who’s attending (permitting it’s not a secret).

THE BIG DAY IS HERE, WHAT DO I STILL HAVE TO DO?

  • Set up any areas that you can.

  • Put up decorations.

  • Make sure the bride-to-be is feeling pumped!

  • Ensure there’s food (remember to be a responsible host!) and the drinks are chilled.

  • Send a ‘Yaaas, it’s party time! Can’t wait to see you all’ message to all the guests, including any last minute information.
